Finalizing Your School's Set Up

This article will walk admin users through how to finalize their setup after their rostering and kickoff form have been added.

If you're here, it means you're just a few steps away from launching SmartPass for your school or district. 🎉 Your accounts are rostered, and our onboarding team has already configured the settings and rooms based on your kickoff form.

Now, let’s put on the finishing touches and get you ready to roll out SmartPass to your team! 🏁

Step 1: Review Synced Accounts ✅

  1. Go to Accounts Dashboard: Click "Accounts" on the left-hand menu.

  2. Check Users: Ensure the correct staff and students are listed.

  3. Grant Admin Access: Add admin permissions to users if needed.

  4. Add Missing Accounts: Manually add accounts for substitutes, clerical staff, or others not in the sync, or work with IT to add them to your sync.

  5. Disable Unnecessary Users: Remove access for those who don’t need it.

💡 Tip: For bulk updates, collaborate with your IT team to make changes in your sync!


Step 2: Review and Update Rooms 🏫

  1. Check Existing Rooms:

    • Look over the rooms we added, such as Restrooms, Water Fountains, Classrooms, Admin, and Student Services, to ensure accuracy.

  2. Add Unique Rooms:

    • Create rooms like IT/Tech Office, Cafeteria, Gym, Auditorium, Lockers, or other unique areas.

  3. Special Pass Rooms:

  4. Adjust Max Passes To A Room:

  5. Reconfigure Restrictions (if needed):

    • Review and tweak room restrictions. We’ve pre-configured these based on best practices, but feel free to adjust!


Step 3: Customize Pass Settings 🎒

  1. Set Encounter Preventions

    • Encounter Preventions help you avoid unwanted student meetups in the hallways, ensuring smoother transitions and fewer disruptions.

  2. Add Individual Pass Limits

    • Tailor pass limits for specific students to align with accommodations or intervention plans.

These settings help you maximize SmartPass's effectiveness and maintain a safe, structured environment!


Step 4: Adding Your Schedule 🗓️

  1. Enter your Schedules

    • Head to the schedule tab on the left

    • Follow the steps in the editor to add your schedule(s)

  2. Accept Classes

    1. Consider having teachers do this, but you can also support by doing it for them.

    • Use SmartPass Academy for professional development sessions tailored for teachers, admins, and clerical staff.

Step 6: Get Ready to Launch 🚦

Once everything is set, you’re ready to go live! 🎉 Make an announcement to your staff and students, letting them know when SmartPass will officially launch.
