Learn how to use the Daily Passes, Total Passes by Grade and Total Passes by Student Graphs

Your school's pass data provides valuable insights into student movement on your campus. By analyzing this data you can identify trends forming in your pass usage over time or by grade level.

You can find the Daily Passes, Total Passes by Grade and Total Passes by Student Graphs at the top of your Analytics page.

How to Use This Data

Analyzing and taking action on your passes data can have a major impact on student movement. Reviewing pass trend data can help with identifying additional reinforcement of expectations, or the planning of additional training. Consider the following actions when on this data:

  • Daily Passes - This line graph allows you to spot both overall usage trends in your building as well in your grade levels. If you don't see grade level data, consider checking out how to set this up. What you want to see here on this graph is consistency. If you see a decline in passes overtime this may indicate staff and students are not using SmartPass with fidelity. Reinforcing expectations and re-training may be needed. Spikes in pass usage may show you that students are leaving class more frequently, meaning you may need to view this in conjunction with the Room Usage data to determine if there are hot spots and limits that need to be adjusted. Be sure to view the Daily Passes Graph over a longer time frame to get a more complete picture.

  • Total Passes by Grade - The data displayed here, if you have grade levels in SmartPass, will show you a comparison of usage between grade levels. This is helpful to determine if a certain grade level is making too many or too few passes. It may be common for you to have a certain grade that is more or less active, so with regular review you will find what your school's norm is and you can watch for deviation from that norm. This data can help point you towards reinforcement of expectations or re-training of SmartPass for a certain grade level of students or teachers.

  • Total Passes by Student - This scatter plot graph allows you to see outliers in your total passes count. Keep an eye out for groupings or trends in certain grade levels. That may indicate pass usage issues within that grade level. To dig deeper into this data refer to your frequent flyer data further down in the analytics page.

Filtering and Understanding the Data

To start, determine the data range in which you want to filter. You can adjust this at the top of the analytics page. Some schools may analyze data weekly, while others might do so monthly or even quarterly. Working with your data on a regular timetable will help you identify trends and compare your findings with prior audits.

The 3 passes graphs show the following data:

  • Daily Passes - This line graph shows you the total number of passes made per grade level each day, displayed over a period of time. If you don't have grade levels set up it will show your overall usage.

  • Total Passes by Grade - This bar graph shows you the total number of passes made per grade level each day. If you don't have grade levels set up it will show the overall number.

  • Total Passes by Student - This scatter plot graph identifies outliers within each grade level for total passes created.


Exporting Data

By clicking the 3 dots and the download button you can select to download the file as a CSV, XLSX or image file.

Exporting your data report can be useful in several ways:

  • Saving in a local drive for future access.

  • Printing and providing copies to team members as needed.

  • Attaching to emails to update staff.


FAQ

Can teachers access this report, or can I send this to teachers in some way?
This report is only available to SmartPass Admin, however, if you wish, you can export it, and email it to those who need access if you do not wish to provide them with Admin rights in the system.

Why does my data not show grade levels?

By default only Clever and ClassLink syncs share grade level data. If using G-suite or CSV integrations you will need to head to the Integrations button on the accounts page to upload your grade levels in bulk.
