This article will walk you through how to use the Frequent Flyers data.

Your school's frequent flyer data provides valuable insights into student movement on your campus. By analyzing this data you can identify students who are missing too much class time, leaving class too frequently, or exceeding a pass' allotted time.

You can find the Frequent Flyer Report by scrolling down on your Analytics page.

How to Use This Data

Analyzing and taking action on Frequent Flyer data can have a major impact on student movement. Consider the following actions when doing so:

  • Passes – Identify students who leave class the most often. If necessary, consider placing individual pass limits, or if needed, adjust the entire student populations pass limit. Before making changes, review any Individual Pass Limit Descriptions to ensure the adjustment is appropriate. You can take a closer look at a student's passes by doing a pass search.

  • Passes Auto-Ended – Look for students who frequently allow passes to expire. Do a pass search to examine their destinations. Depending on the findings, a conversation with the student or their teachers may be needed. If the behavior persists, an Individual Pass Limit may serve as an intervention tool.

  • Passes Overtime – Identify students who regularly exceed their pass time limits. Again, doing a pass search to look for patterns. This can help you determine whether student conversations or teacher involvement is necessary. If appropriate, an Individual Pass Limit can help manage this behavior.

  • Total Pass Time – Identify students spending excessive time out of class. If necessary, implement Individual Pass Limits.

Reviewing Frequent Flyer data can help with planning parent conferences and intervention meetings, developing retention and credit recovery plans, and supporting MTSS initiatives.

Filtering and Understanding the Data

The Frequent Flyer Report provides a sortable list of students along with key data fields to help you analyze movement trends.

To start, determine the data range in which you want to filter. You can adjust this at the top of the analytics page. Some schools may analyze data weekly, while others might do so monthly or even quarterly. Working with your data on a regular timetable will help you identify trends and compare your findings with prior audits.

At the top of the report itself, you'll find a dropdown menu that allows you to filter by the percentage of your student population you’d like to view.

The Frequent Flyer Report includes student demographic information along with:

  • Passes – Total number of passes the student has used.

  • Passes Auto-Ended – Total number of passes that expired without being manually ended.

  • Passes Overtime – Total number of passes that exceeded the set time limit.

  • Total Pass Time – Cumulative pass time for the student.

  • Pass Limit – Displays any set pass limits for the student.

  • Individual Pass Limit Description – If a custom limit was set for the student with a note, it will appear here.

You can sort these fields in ascending or descending order by clicking the field title in the report header.

For more advanced filtering, click the funnel icon in the top right corner of the report to refine your view.


Exporting Data

By clicking the download button you can select to download the file as a CSV or XLSX file.

Exporting your data report can be useful in several ways:

  • Saving in a local drive for future access.

  • Printing and providing copies to team members as needed.

  • Attaching to emails to update staff.


FAQ

Can I click on a student to open their account?
Not at this time, you will want to head to the search bar in the top left to look a student up.

How do I create a pass limit?

You can head to the accounts page and click pass limit near the top right. For individual pass limits, you can also do this from the student snapshot page.

Can teachers access this report, or can I send this to teachers in some way?
This report is only available to SmartPass Admin, however, if you wish, you can export it, and email it to those who need access if you do not wish to provide them with Admin rights in the system.
