Creating New Flex Activities

Learn how teachers can create new activities using Flex.

Once your SmartPass admins configure the campus Flex settings, you can schedule your activities during a Flex Period or for a custom date & time.

Activities can be set to occur during all or only some of the available Flex Periods throughout the week depending upon your needs and offerings, but can also be scheduled outside of Flex Periods as a custom activity offering. If your activity is for your Flex Period, make sure to schedule within the Period your Admin has configured.

💡 What are Flex Periods?

Schools call flex periods by a variety of names... advisory, "Eagle Time," Power Hour, W.I.N. (What I Need) Time and more. Regardless of the name, the intent is the same:

Teachers have flexible rosters and can offer a variety of activities or academic supports for students.

Students can schedule where they want to go for activities or seek specific supports depending on their needs.


Creating a Flex Activity

In your teacher account, click on the Flex tab

  • You’ll be navigated to the Daily Overview page where you can get a high level insight on today’s Flex offerings.

  • To look at activities in more detail, you’ll want to navigate to the Activities Table by clicking on “Activities” in the top left, under Flex.

From here, you can filter to show:

  1. "Activities" to view Active or Archived activities

  2. "Teacher" to view only "My Activities" or select other teachers' activities to view options across the campus.

  3. "Room" to view activities by the location where they occur

To create a new activity within a Flex Period:

  1. Click the “New Activity” button in the top right.

  2. In the activity creation pop-up window that opens

    1. Name your activity

    2. Add the teachers hosting the activity (yourself and/or others)

    3. Select the room the activity occurs in

    4. Select and configure the visibility of the activity

    5. Set the max capacity

  3. Click Next

  4. Choose whether the course will be during a Flex Period or a custom date & time.

  5. Whether you choose "During Flex Period" or "Custom Date & Time, you'll need to then:

    1. Specify if the activity repeats. If your activity only repeats on specific days, you’ll need to schedule for the next 3 months now, but can go back and add more sessions later!

    2. Configure visibility

  6. Click create. Now you are done setting up your Flex activity!

📣 Note: After creating a new Flex activity, you’re automatically taken to the activity’s settings menu where you can make edits as needed, like creating a Flex Default Roster. Check out this article to learn how to create a default roster for your activity.

To create a new activity with a Custom Schedule Outside a Flex Period

  1. Click the “New Activity” button in the top right.

  2. In the activity creation pop-up window that opens,

    1. Name your activity

    2. Add the teachers hosting the activity (yourself and/or others)

    3. Select the room the activity occurs in

    4. Select and configure the visibility of the activity

    5. Set the max capacity

  3. Click Next

  4. Toggle over to “Custom Date & Time

  • Fill in the Date & Time information for when you want to offer this activity

  • Select the repeats options for your activity

  • Click create. Now you are done setting up your Flex activity!


Flex Activity Options

  • Room - are you in your classroom or another location? Where should students go for the Flex Period?

  • Visibility - which students do you want to see the activity

    • Show activity for all students means a public activity students can sign themselves up for

    • “Show Flex Period for certain students”: you will be able to select specific students or student groups that have access to this Flex Period and associated activities. Check out this article for information on how to create Student Groups you can use for this setting.

    • Hide activity for all students means a private activity teachers must sign students up for

  • Max Capacity - how many students do you want to have attend your Flex activity? Unlimited? A small number for academic support?

  • Repeats - do you want to offer the same activity every Flex Period or only selected ones? Don’t worry - you can add more sessions later!

Can I edit an existing Flex activity?

Yes, by clicking back into the activity you can make edits.

Can I set a specific roster for every Flex activity?

Yes! Check out the Default Roster Setting to learn how to configure a set roster to be scheduled for every session of your activity.

Can you add students who are in encounter prevention groups to the same Flex activity?

Yes, you can, but only if the group is disabled for activities.

Can students change a teacher's Flex activity selection for them?

No, students can only change their own activity selections.

Can a teacher override another teacher's student assignment to a Flex activity?

No, only admins can change a student's assignment to a Flex activity once a teacher has added a student to their roster.

Can admins adjust Flex activity rosters?

Yes, admins can make changes to all Flex activity rosters.

Does a Flex activity have to occur during a Flex Period?

No, you can create an activity for any date or time. When creating an activity you can select custom date and time.
