Use Max Passes From This Room to set the amount of students that can leave a certain room at the same time. When the max number of passes is reached, students will be placed in a line to wait for their turn to start a pass.
Setting this up may help you align SmartPass with a school policy that says only 1 or 2 students may leave a given classroom at a time. This feature can also help admin support their teachers in scenarios when multiple students are requesting to leave their classroom.
How to Set Up
As an admin, navigate to the Rooms tab on your admin page and select the room, or room within a folder, you wish to add this to.
By scrolling down in the room settings, you will see a setting titled Max Passes From [Name of Room]. Toggle this setting on and select the appropriate number of students you wish to allow to leave from a room with active passes.
Click Save.
Setting up a limit for multiple rooms?
Select multiple rooms in a folder by clicking the checkbox next to the room name, or set it for multiple rooms at once by clicking Edit on the Rooms tab.
What happens when the limit is reached?
After the max number of students are out of the room, students will be placed to wait in line. When it is their turn the user will be prompted to start the pass.
From a Students' Perspective
From a Students' Perspective
When they go to start a pass and there is a line, their screen will show "Wait In Line" as indicated below. Clicking this will place them into the line.
When it’s a student’s turn to leave the room, they will be prompted to start their pass. They have 30 seconds to accept the pass before the system takes action. If they fail to accept within the time limit and there are others waiting in line, they are moved to the end of the queue. If there is no one waiting, their turn is canceled, and the pass must be recreated.
Things to Consider
To prevent long wait times and ensure smooth student movement, it’s important to follow the best practice of ending passes once a student arrives at their destination and plans to stay there for an extended period.
Leaving passes active for 10, 20, or 30 minutes to locations like the nurse or guidance office can limit other students' ability to leave the same classroom for restroom breaks or other destinations. This should be kept in mind when configuring this setting to "1."
If readjusting the time limit and current practices for specific passes (example your guidance passes being set for 30 minutes) doesn’t meet your needs, consider increasing the number of students allowed out of a classroom (Max Passes From) to a number larger than "1" to accommodate these scenarios.
FAQ
Can teachers override the line to send a student immediately?
Yes, teachers click Skip the Line to start a student's pass immediately. This is particularly helpful if a student is having an emergency and needs to leave the room now.
How does this work with limits on the destination?
Blissfully. If your school also has a limit set for Max Passes To certain rooms (for example, only 3 students at a time to a bathroom), students will also wait in line until it's their turn to leave. When a student is first in line to leave the room, but it's not their turn yet at the destination, the student will hold up the other students waiting to leave the room.
Can you exclude certain destination rooms to bypass this limit and the line?
No, not at this time. In the event of an emergency, staff can override the pass for the student
What happens if a student misses their turn in line?
If after 30 seconds a student does not accept the pass, and there is someone else in line, they get bumped back a spot. If there is no line behind them their turn is canceled, and the pass would need to be written again.
Can teachers manually reorder the line of students waiting to leave?
Teachers cannot reorder the line, however they can skip students by overriding and starting their pass.
When teachers create passes for multiple students at the same time, do they wait in line?
No. If a teacher tries to create passes for multiple students at the same time that exceeds the max for the room, the teacher will be prompted to override the limit, and the students will not be added to the waiting line. Teachers can only create passes one at a time consecutively if they want their students to be added to the waiting line.
How does Encounter Prevention work when students are waiting in line?
Students in an Encounter Prevention Group can both get in line, but they cannot have an active pass at the same time.
