How to sync your accounts through SmartPass using a Clever Rostering integration

This guide provides step-by-step instructions on how to sync SmartPass with Clever.

With this integration, you will be able to sync your user records and provide SSO access directly from the Clever Dashboard to the SmartPass platform.

Integrate Clever and SmartPass

1. Add SmartPass to Clever

Follow these steps to add SmartPass as an app in Clever.

  1. Follow the prompts to send an integration request. You will need to sign in with a Clever district admin account.

  2. Share all records for the schools that have purchased SmartPass. Make sure to include students, teachers, staff, and/or district admins. Also, make sure to apply any filters if needed.

    1. If you share multiple schools with SmartPass, we will ensure that the users are split correctly between each building. If you have users that are included in multiple schools, they will have access to both schools in SmartPass.

  3. Notify our Support Team know you are ready to share by opening a chat thread and wait for us to link your Clever records to SmartPass and initiate the sync. Our team will let you know when we have completed tying your Clever school to your SmartPass school to roster your accounts.

Please Note:

If your school is onboarding, please let us know when all records are shared. This will greatly speed up the initial integration process.

  • Please include your Clever District Name and Clever School Name(s) (Optional, you can include the school ID) that need to be synced with SmartPass.

Your Customer Success Manager will reach out to our team internally to run the initial sync for your school, and confirm once it is ready.


What Information Does SmartPass Pull from Clever?

Student:

  • Name

  • Grade Level

  • ID Number

  • Email Address

  • Classes

  • Password

Teacher/Staff:

  • Name

  • Email

  • ID (If staff have an ID in Clever)

  • Class Rosters

  • Password


FAQ

I have a synced account that is no longer working, what do I do?
We sync each night with Clever, so if an account no longer is able to log in that that means your IT team has changed a share rule to exclude this user.

There are 2 options to fix this: confirm with your IT they are sharing this user by having them add them back in, or you can have our support team move this account off the sync and make them an account directly in SmartPass.

When does syncing occur?

The sync between SmartPass and Clever happens once every 24 hours at 11:00 PM EST. The sync usually takes a few hours to complete.

What do I need to prepare for next school year?

As a new school year approaches, it's essential to ensure a seamless transition for your entire SmartPass system, including roster information.
