In this article, we will be talking about Detected Encounters. This feature is part of the Pro and One plan subscriptions.

Updated over 2 months ago

Detected Encounters is a feature that uses AI technology to tell you which of your students are meeting up in similar locations at similar times. This allows you to be proactive and enable your Encounter Preventions before an issue arises from students meeting up.

Available only on Hall Pass Pro and SmartPass One.

How to View Detected Encounters

While in Admin View, on the left click on Explore, and select, Detected Encounters.

On this page, you will see a list of all the students who have had passes with overlapping times over the past week. The report is generated at the end of each week, with that date being displayed at the top of the page. By clicking the colored pass icons or by clicking a students name, you can dig deeper into this data.

When examining this data it is important to dig in deeper to see if these students are actually meeting up, or just happen to be on the same bathroom break schedule, or possibly going out in totally different parts of the building. This may require digging into the passes written to see if they are going to the same locations, or even review other data such as your cameras to confirm.

Using the Data Proactively

If you see that a pair or group of students have been meeting up often, you can add those students to an Encounter Prevention group so they can no longer create passes at the same time. To do this simply click into the names of the students to open the Encounter and click Create Encounter Prevention Group.

FAQ

I see overlap for students going to rooms that are on opposite sides of the school? Why is that?

Currently, Detected Encounters doesn't account for real-world distances between rooms. We allow the administrators to make a judgement call on what is close or not. For example, two students might have overlapping passes to bathrooms on two different floors. For some school layouts, they would ignore this as a potential encounter. Other school layouts might have the bathrooms close to a shared staircase, and an administrator would want to note the potential encounter.

Can I go through previous weeks of Detected Encounters?

No. Currently, you can only view last week’s data.

My Detected Encounter data is not showing or was not updated this week. What should I do?

Please contact our Technical Support team through the chat feature in the bottom-right corner of your account, or send an email to [email protected]

Does Detected Encounter put students in an Encounter Prevention group automatically?

No. The Detected Encounters report allows you to view the encounters happening in your hallways. It is up to the admin to decide whether the encounters are valid or to put those students in an Encounter Prevention Group.
