Using a single activity to manage large groups of students during a Flex Period is a great way to alleviate strain on individual teachers and provide a hub for students when they haven’t signed up for activities on their own. Admins or other staff can monitor a single location (or two) and have all un-assigned students go to the Backup Activity in order to account for everyone and ensure that all students’ needs are being met.
Benefits
Provide a Clear Expectation for Students
Allows for all students to know where to go during a Flex Period, even when they hadn’t signed up for an activity.
Creates Accountability
Gives staff a way to take attendance and account for all students on campus - even those who were avoiding going to teacher-held activities.
Meaningful Data and Insights
Data on activity rosters and attendance can help teachers and admin drive informed decisions.
Easily Manage Large Student Groups
Using the reports on which students haven’t signed up for teachers’ activities allows you to quickly manage student sign-ups and place them into the backup activity.
How to Set Up and Use
Communicate with your staff that students who do not sign up on their own, or who aren’t signed up by teachers, for a teacher-led activity will be placed into a Backup Activity.
Create a Backup Activity with a large Max Capacity that reflects the space you’ll be using.
Don’t forget to title it according to campus culture– some schools use Flex Catch-All, others Flex Detention. Make it work for your campus and students.
Assign staff to monitor the backup activity.
Once your signup window has passed, download the “Students not in activities” report from the Daily Overview page.
Navigate to the Activity Sessions view for the Backup Activity and click on “Add Students”
Upload the just downloaded list of “not signed up students” to the backup activity.
Once the Flex Period starts, you can track students’ attendance to the Backup Activity and take action accordingly.
✨ Flex is purchased separately from Hall Pass. If you'd like to learn more about Flex, please reach out to our team.
