Managing Flex Periods

Use the Flex Admin Settings to support your campus.

After activities have been created, as an admin, you'll be able to get insights into the activity sign-ups (or lack there-of) for the entire campus as well as view and manage specific activities and sessions.

Viewing Flex Sessions & Activity Rosters - Daily Overview

  1. On your Flex tab, navigate to the Daily Overview page and select the date you’d like to get insights for

  2. In this view, you have three key tools you can use to help know where students are and which students have not signed up for an activity

Key Tools:

  1. Download a CSV File of the rosters for students who are (or aren't) in activities. These rosters will give you detailed insights on things like who signed a student up for a Flex activity and who isn't signed up for an activity for this particular session.

  2. Detailed information about the specific activities being offered in this Flex Period Session, available in both overview and downloadable formats.

  3. Activity-specific signup information. Clicking on this tile will open the Activity Sessions page.


Viewing an Activity - Activity Sessions View

  1. On your Daily Overview, click on the tile for any scheduled Flex activity you want details for (section 3 in the tools above)

    • This view is also accessible by clicking on any Activity in the Activities Table (found by clicking on “Activities” instead of “Daily Overview”).

  2. Once the Activity Sessions View opens, you'll see:

    • The section on the left that gives an overview of the activity information and lists all of the available sessions.

    • The section on the right lists the roster for the selected date

Clicking on a specific session date will open the roster for that date and and you'll be able to both see and make changes to the roster for the session:


Adding Students to Activities

There are two ways you can add students to a scheduled activity: from the Daily Overview or from the Activity Sessions View.

To add students to an activity from the Daily Overview Page:

  1. Navigate to the Flex tab and, on the Daily Overview page, select the date you want to work with.

  2. After you’ve selected the date,

    • Identify which activities have remaining spots available for students

    • Click on the “Add Students” button on the activity tile for the activity you want to add students to.

  3. In the pop-up box, add any student(s) that should be in this activity then hit “Save”

To add students to an activity from the Activity Sessions View:

  1. Navigate to the Activities Table (or open the activity from your Daily Overview)

  2. Select the specific activity you want to add students to (yours or another teacher’s)

  3. Once the activity Sessions View has loaded, select the session date you want to add students to

  4. Click on “Add Students”

  5. Once you’ve added all of the students you need to, click “Save”

💡Adding students to activities can be done by:

  • Searching for and selecting the individual student(s)

  • Selecting a pre-created student group

  • Uploading a list of students using a CSV of their email addresses


Editing a Flex Roster

Editing the roster for an activity you are associated with can be done from the Activity Sessions View.

Once you have the Activity Sessions View open, and you’re viewing the roster for the day you want to edit, you can easily update the roster by opening the … menu to the right of the student’s name.

This 3 dot () menu displays when hovering over the row for each student and once you open this menu, you’ll be able to quickly remove the student from the day’s session.

FAQs

Can I add students to activities the same day they occur?

Yes! You can add students to activities up until Five (5) Minutes before the activity begins.

Can I create large activities and add everyone who hasn't signed up?

Yes, check our our Use Case Guide on Backup Activities for how you can do this.

Can I add students to other teachers' activities?

Yes! You can add students to any activity as an admin. Only other admins can override this placement though.
