Begin by adding your schedule(s) on the Schedules tab, which is found on the left side of your Admin page. This guide will walk you through that process.
Once you have added your schedule(s) you will want to review the steps below to ensure that you can properly accept classes, and that you have your periods and terms configured correctly.
Check repeatings and rotating days
Begin by clicking on the Schedules tab. You should see the days of the week listed. Ensure your schedule rotates or repeats any regular patterns.
If your schedule(s) are not assigned to the days of the week you can do them one at a time there, or in bulk by clicking Change Schedule followed by Edit Schedule. Work through those pages and stop at the last one, Calendar. You can follow these steps to add your days to the calendar.
Checking schedules, terms, and periods
The quickest way to make sure your schedules line up is by going in to accept a class and ensuring teachers have all of the options available to them to to select. Begin by heading to the Classes tab. Click on a class to accept it and assign a room. You don't have to follow through with accepting the class, so do not worry about selecting the proper room here.
Checking Schedules:
Once you have selected a room, you will see all of the options to accept the class to the schedule, including all of your schedules and periods. If your school has multiple schedules that run concurrently, ensure each of those schedules is there to toggle to across the top. If you need to add an additional schedule that runs concurrently, click the Add Schedule button on the Schedules tab. Learn more here.
For rotating days such as A/B days and M/W/F schedules, you should see those displayed with each of the periods listed directly below. If you need to edit, head back into the Edit Schedule button and add these as Regular Days for the proper schedule, and follow the steps above to set rotations properly. Checking Terms:
You should see all of your terms to select at the top of the class selection as well. Double check that the smallest option of a term offered is available. For example, if you have classes that meet only for a quarter, but also have semester and year long classes, you would want to see Q1, Q2, Q3 and Q4 as terms to select here. If so, you have it set up correctly. If you need to edit, please see these steps.
Checking Periods:
When accepting classes you should see each of the periods listed below the appropriate schedule. If you see all of the proper period options, you have it et up correctly. If something seems off, head back to the Edit Schedule button and edit your periods.
The GIF below shows the class acceptance in action. You will want to make sure any/all selections a teacher needs to accurately accept a class is reflected.
Checking lunches
Lunches can be a complicated part of your school day. Ensuring this is set up correctly in SmartPass will ensure proper data in the system.
Lunch waves during a single class period:
If your school has multiple lunch sessions during a single period (ie: some students have 4th period, and then go to lunch, some have 4th period, go to lunch, and return to 4th period, and some have lunch first and then have 4th period), then you have what we refer to as lunch waves. Right now lunch waves are "coming soon". You should add the full time block of the period, and you will be able to go back and edit this soon to add your lunches.
Lunch during a single period without differing schedules:
If your lunches are the same length as other classes, and they cause no variations in period times across your school, enter these as regular periods on your schedule.
Lunch periods across multiple periods
If your school has multiple lunches over multiple periods, causing a variation in overlapping period times, you would want to build each of these as independent schedules. For example if you have lunches 4th, 5th, 6th and 7th periods, and that causes all of your bell schedules to be different during the middle of your day you would want to build 4 schedules, one for each of the lunch schedules. Do this using the Add Schedule button on the Schedule tab.
Checking Holidays
Ensure you have your holidays set so your schedule is not running on days without school. This is important if you have rotating schedules so your rotations stay on track. You can add and edit your Holidays on the right side of your Schedules screen. Learn more here.
FAQ
Am I able to add modified days such as early release, delay and pep rally schedules?
This feature is coming soon. For now, you can always turn off your schedule by adding a holiday into the schedule.
Can I delete a schedule?
If you messed up a schedule, you can always edit it to make it work. If you made a duplicate schedule in error, reach out to support, they can delete the schedule for you.
