At SmartPass, we prioritize the security and privacy of student and school data. Below are answers to some common questions regarding data collection, storage, access, and usage.

1. Where is the data collected via SmartPass stored, and for how long is it retained?

SmartPass data is securely stored in our cloud service provider, Google Cloud. The data is encrypted and safeguarded using industry best practices to ensure privacy and security.

Data is retained for as long as you remain a customer and for up to one year afterward. However, you can request data deletion at any time, and we will process it accordingly.

2. Who has access to the data collected by SmartPass? Does any third party have access to student or school information?

We work only with a select few trusted partners who provide essential services, such as cloud storage and infrastructure support. These partners are contractually obligated to adhere to strict privacy and security standards that align with our own.

Beyond these essential service providers, no third party has access to student or school information unless required by law or explicitly authorized by the school.

3. How is student and school data protected to ensure privacy and security?

SmartPass follows industry-leading security practices, including data encryption, access controls, and continuous monitoring to prevent unauthorized access. Our compliance with strict security policies ensures that all data remains protected.

4. What is included in the de-identified information used for educational service development?

The de-identified information used in our service development consists of diagnostic data and usage insights.

  • Diagnostic information includes details such as device type, operating system, and app performance logs when a user logs into SmartPass. This helps improve our software and support troubleshooting.

  • Usage information includes general metrics such as the number of users at a school, the volume of hall passes generated, and feature utilization trends. This data helps us improve SmartPass and ensure schools get the most out of our platform.

5. Can you provide an example of the aggregated format of de-identified data used for educational insights?
