Duplicate School Years

Introducing Duplicating School Year Schedules

SmartPass allows you to duplicate an entire school year schedule when preparing for the upcoming school year. This eliminates the need to create a new schedule from scratch each year or edit and rename an existing one.

Duplicating a schedule not only saves time and reduces the need to contact Support for setup assistance, but it gives you the freedom to edit and publish on your own timeline. The duplication feature also allows you to preserve a history of previous school year schedules since existing ones are not being reused.


Duplication

The option to duplicate is available for all published school years, whether it's from the past year, current, or an upcoming school year.

What is Included in the Duplication?

Terms, Bell Schedules, and Lunch Waves. However, only the standard built in holidays are copied over. If you have customized holidays in the past, you will need to do so again.

Dates

Duplication moves the start and end dates forward into the next year based on your schedule's previous timeline. For example, if the school year you duplicated was set to start and end from August 18, 2025 to June 4, 2026, then the new dates set in your drafted schedule will be August 18, 2026 and June 4, 2027. Adjust the dates as needed based on your upcoming school year calendar.

Bell Schedules and Lunch Waves

You will need to confirm your duplicated schedule (and lunch waves) and adjust dates as needed.

Drafts

When a schedule is duplicated, it first goes into Draft mode. You must review, update, and confirm all dates that have been copied over before you can publish the new school year schedule. If multiple schedules are listed within the copied school year, the draft will stay in draft mode until all schedules have been either published (or deleted). You can access your drafted school years at any time.


How to Duplicate a School Year

There are a couple ways to duplicate a school year. You can duplicate last year's schedule or duplicate any school year of your choice (past, current, upcoming).

The first set of instructions below (Option 1 and Option 2) show you two different ways to locate the duplicate feature. Once accessed, the next set of instructions walk you through the rest of the process.

STEP 1

(Option 1) Duplicate Last Year

If you are not in an active school year, your Bell Schedule page will state No Active School Year presenting you the option to duplicate last year's schedule. Click the green Duplicate Last Year button.

(Option 2) Duplicate Any School Year - Your Choice

Whether in an active school year or not, you can choose to duplicate any school year, past, current, or upcoming. If you want to duplicate a past school year, click on the Show Past toggle located at the top right of the School Years panel. This will allow you to view previous school years.

Once the desired school year is found, click on the 3-dot menu to the far-right. Despite past school years being grayed out, the menu is still accessible. Click Duplicate.


STEP 2

Reviewing and Updating Your Duplicated School Year

  1. When the Duplicate School Year tool opens, update the school year's name and its start and end dates. Once completed, click Save as Draft.

  2. The duplicated schedule is now saved under DRAFTS.

  3. To review, edit, and publish the new school year, click the 3-dot menu on the far- right side and select Continue Editing.

  4. This drops you into the schedule wizard. You will need to review all items and make edits where appropriate. If you have more than one schedule, they will show as individual tabs to be reviewed. Click Next to move through each section.

  5. Once all information has been confirmed / updated, click Publish.

  6. The newly duplicated and published school year will now show as Upcoming.

    📣 Note: All schedules in the duplicated school year will need to be reviewed before the school year moves out of DRAFTS.

If you decide not to continue with your draft, you can delete it by clicking on the 3-dot menu and selecting Delete.

FAQ

Can I still create a new schedule?

Yes. The duplicate feature is for convenience and efficiency. If your schedule has changed drastically, you can create a new schedule at any time. Click HERE to learn how to create a new schedule.

Can I add a new Regular Day to the duplicated schedule?

Yes. Once duplicated, you will need to go through and confirm information in each section of the schedule wizard. You can add a new Regular Day when you get to that section.
